We size the display to the furthest seat, cover the room with a camera that can actually resolve faces at that distance, put microphones where voices are rather than where cable is easy, and set it up so joining is one press.

Rooms are judged by the people joining remotely, because they are the ones who cannot lean in when the audio is poor. If they can hear everyone clearly, the room works.

Meeting room design has real engineering standards. AVIXA's DISCAS standard defines display size from viewing distance and content type, which is why we size screens from the farthest seat and the spreadsheet, not from the marketing budget.

Audio is engineered for intelligibility, microphone coverage mapped to seats, speech level consistent across the table, then verified in the finished room.

Common questions

What equipment does a video conferencing room need?

A display sized to the furthest seat, a camera that resolves faces at that distance, microphones placed where voices are, and one touch joining. The room size decides the kit, not the budget.

How much does a meeting room AV setup cost?

It scales with room size, because distance drives the camera and microphone specification. A huddle room runs on one bar; a boardroom needs ceiling microphones and dual displays. We quote after seeing the room.

Why do remote participants struggle to hear in our meetings?

Microphone coverage, almost always. Audio problems end meetings early where video problems merely annoy, so at six people and above the microphones deserve more attention than anything else.

Can all our rooms start a meeting the same way?

Yes, and they should. One joining experience across the estate means nobody hesitates in an unfamiliar room.
