How to Setup a Wireless Access Point?

Most wireless complaints in business start the same way: somebody bought a good access point, screwed it to a wall where the cable happened to reach, and expected the building to cooperate. The hardware is rarely the problem. The setup is.

What an access point actually is

An access point turns your wired network into radio. It is not a router and not a repeater: it belongs on the end of a network cable, ideally powered by that same cable, serving the devices around it. A building has as many access points as its spaces need, all presenting the same network name, with devices moving between them as people walk.

Placement decides everything

Radio does not care where the cable was convenient. Concrete, block walls, metal shelving, glass and elevator shafts all eat signal, and every building eats it differently.

The honest way to place access points is a survey: walk the space, measure, and let the building tell you where coverage dies. The rough rules that surveys keep confirming are worth knowing anyway. Mount on ceilings rather than walls where possible. Put access points where the people are, not in the comms room because the cable was short. Expect a unit roughly every couple of thousand square feet of office, and more, not fewer, in dense or obstructed spaces. Coverage is not the same as capacity: a boardroom that seats twenty needs serving even if the hallway access point technically reaches it.

The setup that separates business from home

Getting a network name broadcasting takes minutes. A business setup earns its name with what comes next.

  • Power over ethernet from the switch, so each unit has one clean cable and reboots with the closet, not with a wall wart
  • Separate networks over the same radios: staff, guest and devices, each isolated from the others
  • Guests reach the internet and nothing else, which is a configuration decision, not a default
  • Cameras, printers and building devices on their own segment, away from both staff and guests
  • Channels and transmit power planned across units rather than left on automatic and hoped for
  • Modern security enabled, old protocols disabled, and the management interface behind a real password

Mistakes we get called to undo

The same few, over and over. One access point asked to cover a whole floor through walls. Consumer routers scattered around acting as repeaters, each halving the speed of the last. Every device from cash register to guest phone on one flat network. Access points resting on ceiling tiles above the grid, where they overheat and drop. And no record of what was installed where, so every fault starts with a treasure hunt.

The order of work that succeeds

Survey first. Cable to the marks the survey produced, not the other way around. Power from the switch. Configure the networks and their separation before anyone connects. Then walk the building again with the system live, because the only test that counts is the one done where people actually sit, stand and work.

Wireless done this way disappears into the background of a business, which is the entire point of it.

That order of work is how a commercial business Wi-Fi setup should go, and it is how we run ours. The survey produces marks on a floor plan, the cabling goes to those marks, each unit is powered from the switch, and the staff, guest and device networks are configured and separated before the first laptop connects. What sits behind the radios matters just as much: the switching, the addressing and the segmentation that a proper business network setup provides are what let a dozen access points behave like one network instead of a dozen. The final walk-through with a laptop is where the design earns its signature.

Common questions

Do I need a controller to manage multiple access points?

For a single access point, no. Once a building has several, a controller, whether cloud hosted or a small appliance on site, is what keeps them consistent: one place to set network names, security, channels and power, to push firmware to every unit at once, and to see which access point each device is using. It also handles the hand off between units as people move, which standalone access points do poorly.

How many devices can one access point handle?

There is no single number, because it depends on the access point’s radios, on the width of the channels it is allowed to use, and on what the devices are doing. Twenty people checking email is a light load; twenty people on video calls in one boardroom is a heavy one. Design for capacity in the rooms where people gather, not just for a signal on the coverage map, and plan an access point for each dense space.

Should a business network use 2.4 GHz or 5 GHz?

Both, with a preference for 5 GHz. The 5 GHz band has more channels and less interference, so it carries laptops, phones and video calls far better. The 2.4 GHz band reaches farther through walls and is still needed for older devices, printers and many building sensors that support nothing else. A well configured network broadcasts on both, steers capable devices to 5 GHz, and keeps 2.4 GHz for the devices that truly need it.

Why does my Wi-Fi drop when I walk between rooms?

Usually because the access points do not overlap enough for a device to see the next one before the current one fades, or because transmit power is set so high that a device clings to a distant unit long after it should have moved. Every access point must broadcast the same network name and security settings, coverage must overlap at the doorways and corridors, and fast roaming should be enabled so the hand off happens in a fraction of a second.
