VoIP explained, and whether you can keep the phones you already have

Most buildings do not replace a phone system because they want to. They replace it because the copper line is being retired, the old handset finally died, or the carrier put a number on a renewal that made somebody read the contract properly.

That is usually the moment the question comes up. Do we have to rip everything out, or can we keep what is already on the wall?

The honest answer is that you can usually keep a lot more than you expect.

What VoIP actually is

Voice over IP means your calls travel over the same network as your email and your cameras, instead of over a dedicated pair of copper wires to the phone company. The call is turned into data at one end and back into sound at the other.

Practically, that changes three things.

Your numbers stop being tied to a physical line, so an extension can ring at a desk, on a mobile and in a browser at the same time. Adding a phone becomes a configuration change rather than a truck roll. And the features that used to cost extra on a traditional system, things like auto attendants, hunt groups and voicemail sent to email, come as part of the platform.

IP phones, briefly

An IP phone is a handset that speaks the network natively. It plugs into an ethernet port rather than a phone jack, and it usually takes its power from that same cable, so there is no separate adapter under the desk.

The useful distinction is not the badge on the front. It is what the phone needs to do:

  • A basic desk phone for someone who takes a handful of calls a day
  • A phone with a larger display and more programmable keys for reception, where the person needs to see who is on a call and transfer quickly
  • A conference phone for a room, which is really a microphone array with a dial pad attached
  • A cordless handset for people who move around a floor, a warehouse or a plant

Plenty of people now need no handset at all. If the system supports a browser softphone and a mobile app, a laptop and a headset covers most office roles perfectly well.

The equipment that is not going anywhere

Here is what gets missed in most quotes. A commercial building is full of analog devices that have nothing to do with anybody’s desk, and they still need a dial tone after the change.

  • Elevator emergency phones, which are required to work and are inspected
  • Fire alarm panels and dialers that report to a monitoring centre
  • Intrusion alarm panels using a phone line as backup
  • Fax machines, still standard in legal, medical and government work
  • Overhead paging amplifiers
  • Entry phones at a gate or a loading dock
  • Courtesy phones in lobbies, parking levels and stairwells

None of these care about your new platform. They care about seeing the voltage they expect on a pair of wires. If a migration ignores them, the first thing anyone notices is that the elevator phone stopped working, which is a compliance problem rather than an inconvenience.

So can you retrofit?

Yes, and there are three ways to do it depending on what you are keeping.

Keeping analog handsets

An analog telephone adapter gives an ordinary phone a place on the network. The handset behaves exactly as it always did, while the system sees it as another extension. For one or two devices this is a small box near the phone. For a floor of them, a gateway with multiple ports does the same job from the comms room.

This is the usual answer for elevator phones, paging amplifiers and anything bolted to a wall that would be expensive to replace.

Keeping existing phone lines

The reverse also works. A gateway can take your existing lines and present them to the new system, which is useful when a number is tied to something you cannot change quickly, or when you want a line that keeps working if the internet does.

Some sites keep a single line purely as a fallback for the fire panel, and move everything else across. That is a reasonable position and worth pricing before you commit either way.

Keeping the cabling

The wiring in the walls is often the part people assume is wasted, and often it is the part that survives. If the building was cabled for data in the last twenty years, that cabling carries voice without touching it. Where a site was only ever cabled for phones, the existing pairs can still feed analog devices through gateways while new runs are pulled for the desks that need them.

What actually needs checking first

A retrofit succeeds or fails on the survey, not the handsets.

The network has to be ready. That means switches that can power the phones, enough ports in the right places, and traffic shaping so a large file transfer does not chop up a call. It also means somebody has looked at what happens when the power goes out, because a traditional phone drew its power from the line and an IP phone does not.

Then there is the part specific to Canada. Emergency calling has to send a location that dispatchers can act on, and that location has to be right for the building and the floor. On a system where an extension can move between a desk, a mobile and a laptop, that takes deliberate configuration. It is not automatic and it is not optional.

A sensible order of work

The migrations that go quietly tend to follow the same sequence.

  • Survey the site and list every device with a phone number, including the ones nobody thinks of
  • Check the network can carry voice and power the endpoints
  • Decide what stays analog behind a gateway and what becomes an IP endpoint
  • Port the numbers and build the call flow before touching anybody’s desk
  • Cut over in a window, with the old path still available
  • Test the emergency devices specifically, and record that you did

The last two matter more than the hardware. A cutover with no way back is how a business ends up unreachable on a Monday morning.

The short version

VoIP is a change of transport, not a demand that you throw everything away. Desk phones can stay analog behind an adapter. Existing lines can stay in service behind a gateway. Structured cabling usually carries straight over.

What determines whether it goes smoothly is whether somebody walked the building first and found the elevator phone, the fire dialer and the fax in accounts before the cutover, rather than after it.
